Keep your team focused on the visitor experience, with a clearer process for preparing Gift Aid claims behind the scenes.
For a museum, heritage site or charitable visitor attraction, Gift Aid administration can involve several people and more than one set of records. Donation information may start at a welcome desk, move into a spreadsheet and reach the finance team at the end of a busy week. When records need checking, it helps to know exactly where to begin.
GiftAider helps charities organise donation data, review validation issues and prepare online Gift Aid claims. We can talk through how your records are collected and which GiftAider package fits the work your team needs to do.
A practical route from donation records to a claim
Bring the right information together
Start with the records your team already holds. Identify the donor, donation date, amount and relevant declaration evidence, together with a reference that lets you trace the entry back to its source. If you use a ticketing or visitor-management system, show us a sample export using fictional data so we can discuss the fields and import requirements.
Review records before submitting
GiftAider’s validation tools help highlight data that needs attention. Your team can investigate an issue, check the source record and review the batch before authorising a claim. A validation check supports your process; it does not decide whether every payment is eligible for Gift Aid.
Give finance a clear handover
Keep a record of the donations included in each claim, the totals reviewed and any entries left for further investigation. Link your claim records to the finance team’s normal reconciliation process, so submitted claims and money received can be followed separately.
Admission payments and donations need different checks
A standard entry fee is not automatically a Gift Aid donation. Special rules can apply to voluntary donations connected with admission to charity property. Your charity needs to check its arrangements, what visitors are told and the declaration evidence it keeps.
Read HMRC’s guidance on eligible donations and admission to charity property before setting up your process. Software does not replace those eligibility checks.
Choose the right level of donor management
GiftAider Breeze is designed for claim processing where valid declaration evidence is already held outside GiftAider. Amplify adds declaration management and richer donor-record tools. The right choice depends on where your records live and how your team works, rather than the size of your visitor attraction alone.

Our published success stories include the Science Museum and Wimborne Model Town & Gardens. They offer useful examples of GiftAider in a visitor-attraction setting, with different teams and claim workloads.
Questions to bring to a demonstration
- Where do your donation and declaration records currently live?
- Who prepares, checks and authorises a claim?
- Which exports can your existing systems provide?
- What does the finance team need after submission?
