The right Gift Aid software should fit the way your charity works. Start with the process you need to improve, then use that to guide your comparison.
A small team with claim-ready donation records may need something quite different from a fundraising department managing donor relationships and declarations. A long feature list will not tell you which is the better fit. A demonstration built around your own questions is a more useful starting point.
Start with your records
List where donation information comes from: spreadsheets, bank records, fundraising platforms or an existing CRM. Note where declaration evidence is held, how records are linked and which checks happen before a claim is prepared.
You may not need to replace the systems that already work well. Ask whether a Gift Aid tool can use an export from your current process, and what preparation is needed before importing it. An available import does not necessarily mean there is a live integration.
Decide how much donor management you need
Some charities need a focused route from prepared donation data to a claim. Others need to manage declarations, donor details and additional information in the same system. Keep these requirements separate when comparing products.
Within GiftAider, Breeze covers claim processing where valid declaration evidence is already held outside the software. Amplify adds declaration management and more configurable donor records. Read our Breeze and Amplify comparison for the product-level differences.
Ask to see a complete claim workflow
A useful demonstration should show more than a dashboard. Follow a sample batch from import or entry through validation, review and submission. Ask what happens when a record needs correcting and how the team can see what has already been claimed.
- Can you trace a donation back to its original source?
- Which checks does the software perform, and what remains your responsibility?
- How are records needing attention separated from claim-ready data?
- What information is available for the person authorising the claim?
- What can finance review afterwards?
Compare the total cost
Look beyond the headline subscription. Ask about users, multiple charities, claim volumes, data handling, onboarding, training and any optional services. Check whether quoted prices include VAT and what commitment applies.
For GiftAider, use the current pricing page and ask the team to explain the estimate for your circumstances. Keep a record of the package and assumptions used, so you are comparing like with like.
Check support and the practical details
Find out how to raise a support request, when requests are reviewed and what help is included during setup. Ask how authorised users access the system, what records you can export and what happens if your needs change. These details matter when staff or volunteers move on.
Also check the evidence behind recognition and security claims. HMRC’s commercial software list identifies recognised suppliers; recognition is not a general endorsement or a security certification.
Use a short demonstration brief
Write down your three most important requirements, the systems you currently use and the part of Gift Aid work that takes the most effort. Use fictional records or an agreed secure process if a supplier needs sample data. A clear brief makes it easier to judge whether the software will help your team.
