GiftAider Amplify can hold the evidence and history of a donor’s Gift Aid declarations. Use this guide when adding, linking or revoking a declaration. Breeze does not manage that declaration history directly, so its users must retain valid source evidence outside GiftAider.
Before you start
Check the donor’s identity and the evidence you received. Confirm the declaration wording, method and effective date from the source. Do not enter a declaration on behalf of a donor without evidence.
Add a declaration
- Open the correct donor in Amplify.
- Go to the donor’s declarations area and choose to add a declaration.
- Record the date signed and the method actually used, such as written, email, web or SMS where offered.
- Check the recorded name and any evidence reference.
- Save, reopen the declaration and confirm the details persisted.
Link and review donations
- Find donations that should be covered by the declaration.
- Check each donation date against the declaration’s effective period.
- Use the available link or review action where your workflow offers it.
- Reopen the donations and check their claim status before preparing a claim.
Revoke a declaration
Use the donor’s declaration action to record a revocation when the donor withdraws it. Confirm the effective date and review affected donations. A revocation should not silently rewrite a claim already submitted; use the adjustment or correction process when historic claimed amounts need changing.
Expected result
The donor record shows a traceable declaration history. Only donations supported by appropriate evidence and dates are considered for the next claim. Review any exceptions before preparation.
