What happens during GiftAider onboarding?

Onboarding helps your charity move from its current Gift Aid process to a working GiftAider Breeze or Amplify setup. Your steps depend on the package, data and people involved, but the outcome should be a checked account, usable data and a clear path to the first claim.

1. Agree your starting point

Review how donations, declarations and claims are handled today. Confirm whether your team needs Breeze’s focused Gift Aid workflow or Amplify’s wider CRM tools. Identify the administrator, claim preparer and HMRC authorised official.

2. Set up the account

Use your welcome email to access your own GiftAider login.
Check the charity and HMRC configuration.
Create the required users and give each only the permissions needed for their work.
Confirm the authorised official’s own login and email address before any claim test.

3. Bring in and check your data

Choose a small representative sample of donor and donation records.
Map its columns to GiftAider fields.
Run a test import and review both valid and errored rows.
Correct the source data or individual rows as appropriate.
Confirm the merged donors and donations have the expected dates, amounts, addresses and declaration links.

4. Rehearse the first claim

Preview a small eligible claim and compare its totals with the checked donations. Prepare the claim, confirm the selected authorised official receives the Claim Ready email, then review the prepared figures. Only the correct official should sign and submit through the approved process.

What completed onboarding looks like

The charity and HMRC details have been checked.
Each user can access the work they need without unnecessary privileges.
A small import has produced the expected records, with any errors understood.
The team knows how to preview, prepare, authorise and monitor a claim.
Someone owns any remaining data corrections or training questions.
