Donation and summary reports help you compare what GiftAider holds with your own donation and finance records. Choose the right date range and filters before relying on an exported total.
Before you run a report
- Decide whether you need all donations, a particular status, a claim or a selected period.
- Check which date the report uses, such as donation date or banking date.
- Confirm whether errors, deleted records or adjustments should be included in the comparison.
Run and review
- Open the reporting area in your GiftAider package.
- Choose the donation or summary report.
- Set the date field, start and end dates and any other filters.
- Run the report and check the row count, donation value and Gift Aid total.
- Open a small sample of records to confirm the filters behaved as expected.
- Export the result if your finance process requires a copy.
Compare with claims
A donation report may include records that were not in a particular claim. When reconciling a claim, compare against its final claim view and claim statistics, and account separately for excluded rows and adjustments. Do not assume an estimate from before claim preparation is the submitted amount.
If figures differ
- Recheck the date field and period.
- Check status filters and whether the report includes unclaimed or failed records.
- Review adjustments and donations added after the claim was prepared.
- Check that the export is newly generated rather than a historical file.
