Diagnose unclaimed donations with validation issues

If a donation is unclaimed because of a validation issue, first find out why it is excluded. This guide helps you diagnose the record; the separate import-error guide explains how to correct rows in an import batch.

Find the affected donation

  1. Open the unclaimed or validation view in your GiftAider package.
  2. Filter by donor, date, import batch or claim status as appropriate.
  3. Open the record and read the specific validation message.
  4. Check whether the record is still in an import batch or has already become a live donation.

Understand the reason

  • Donor details: check name, address, postcode and country.
  • Donation details: check date, amount, payment method and claim status.
  • Declaration: in Amplify, check the linked donor declaration and its effective dates. In Breeze, check the source declaration evidence and mapped import fields.
  • Duplicate or already claimed: confirm the record’s history before making another copy.

Choose the correction route

Correct an errored import row in the batch before merging, or correct the live donor or donation through its normal edit screen. Use Auto Fix only after checking that its proposed change reflects the source evidence. Save, reopen the record and confirm the validation status has changed.

If a record was already included in a prepared or submitted claim, do not change claim history to force it into a different claim. Follow the claim cancellation or adjustment process appropriate to its status.

Expected result

The validation message disappears only when the underlying issue is fixed. The donation then becomes eligible for the next claim if it meets all other Gift Aid checks. It is not automatically added to an already prepared claim.
