Using Manual Donation Entry

Manual Donation Entry is for donations that need to be entered directly rather than imported. Check the donor and Gift Aid evidence before making the record claimable.

Before you start

Have the donor’s name and address, donation date, amount, payment method and declaration evidence to hand. In Breeze, confirm the declaration evidence is held in your source process. In Amplify, check the donor’s declaration record and its dates.

Enter and save

  1. Open Manual Donation Entry.
  2. Search for an existing donor before creating a new one.
  3. Enter or verify the donor’s name, address, postcode and country.
  4. Enter the donation amount and date without a currency symbol in a numeric field.
  5. Select the donation type, payment method, declaration and claim status where applicable.
  6. Read any validation or duplicate warning before saving.
  7. Save once, then reopen the record to confirm the values persisted.

Check the result

Confirm the donation appears once for the correct donor. Check the displayed amount and any running batch total. If Save reports an error, do not assume the record was created; search for it before trying again.

If a field is rejected

  • Use digits and a decimal point for the amount, rather than entering a £ symbol.
  • Check the required fields and date format shown on the screen.
  • Review country and postcode together; an overseas donor may not use a UK postcode.
  • If the donor already exists, select the existing record rather than duplicating it.
