Understand the GiftAider Claim Ready email

GiftAider can notify the selected HMRC-authorised official when claim preparation finishes. The email tells the official that a claim is ready to review, sign and submit.

Claim Ready email received for a prepared GiftAider claim
The Claim Ready email sent to the selected official

The email is a notification. It does not mean the claim has already been sent to HMRC.

What the email should contain

  • The recipient selected during claim preparation.
  • A clear subject indicating that a claim is ready to sign and submit.
  • The claim reference or enough information to identify the prepared claim.
  • A short explanation of the next step.
  • A safe route back to GiftAider.

It should never contain the user’s password, HMRC credentials, a one-time code or another secret.

What to do when you receive it

  1. Check that you expected a GiftAider claim notification.
  2. Sign in through your organisation’s normal GiftAider address. If you are uncertain about a link, open GiftAider from your saved organisation URL instead.
  3. Open Claims.
  4. Find the referenced claim with status Waiting Auth.
  5. Select Continue.
  6. Review the prepared figures and declaration.
  7. Complete Sign and Submit only if you are the selected authorised official and the claim is correct.

If the email does not arrive

  • Check the authorised official has the correct email address in User Management.
  • Check junk or quarantine folders.
  • Confirm the preparation job completed successfully and the claim reached Waiting Auth.
  • Ask an administrator to check whether a different official was selected.
  • Contact GiftAider support with the claim reference. Do not send a password or HMRC credentials.

If you receive an unexpected email

Do not submit the claim until your charity confirms who prepared it and why. Sign in independently and review the claim reference and figures.

Expected result

The official can identify the prepared claim, sign in safely and continue from Waiting Auth.
