Import, merge and prepare Gift Aid claims

Once an import job has completed, review its rows and errors before merging valid donations or preparing a claim.

Before you start

  • Check the uploaded file name, source and date range.
  • Wait for the import job to reach a terminal status. A queued or processing job is not ready to merge.
  • Know whether you intend to work with one selected batch or all eligible donations.

Review the batch

  1. Open Donations → Import.
  2. Find the batch and check the Imported, Valid and Error counts.
  3. Select View Data to inspect rows marked Error. Use the error download where available.
  4. Correct suitable validation errors, then save and reopen the row to confirm the change persisted.
  5. If the source file is wrong, do not merge it. Correct the source and start a new import.

Merge valid records

  1. When the valid rows are correct, select the merge action for that batch.
  2. Follow the Job Manager result to completion.
  3. Check that the expected donors and donations were created once. Invalid rows should not become live donations.

Preview and prepare the claim

  1. Open Claims → Submit Claim.
  2. Choose the relevant date range or selected imports.
  3. Compare the donation count, donation amount and Gift Aid against the batch and live records.
  4. Select the correct authorised official, then start Prepare Claim once.
  5. Wait for preparation to complete. The claim should enter Waiting Auth, and the selected official should receive the Claim Ready notification.

The preview is an estimate; check the completed prepared claim before signing. If the figures are wrong, cancel the prepared claim, correct the records and prepare it again.

Troubleshooting

  • If a batch shows errors, review the individual rows rather than relying only on its overall amount.
  • If a duplicate upload produces no new donations, check whether the records already exist before retrying.
  • If a job fails, open its details and read the error before placing another job.
