Using validation and Auto Fix

Auto Fix can help with import rows that fail validation, but every suggested change still needs a human check. Use it to correct a known value, not to guess a donor’s identity or Gift Aid declaration.

Before you start

Find the affected import batch and compare its imported, valid and error counts. Open View Data and filter to the errored rows where that option is available.

Review the validation message

  1. Open an errored row.
  2. Read every validation message, not only the first one.
  3. Compare the affected field with the original source file.
  4. Decide whether the source export or the row in GiftAider is the right place to make the correction.

A corrected row should be checked again before it is merged into live donation records.

Use Auto Fix carefully

  1. Select Auto Fix only when GiftAider offers a clear suggestion.
  2. Read the proposed replacement value.
  3. Check it against your source record and your charity’s evidence.
  4. Apply the suggestion only when it is definitely correct.
  5. Save and reopen the row to confirm the value persisted.
  6. Re-run validation or refresh the batch status before merging.

Do not use Auto Fix to invent a donor name, address, donation date or declaration. If you cannot verify the value, leave the row unresolved and ask the source-data owner to correct it.

If several rows have the same error

Correct the authoritative source file and create a new export. Before re-uploading, check whether any valid rows from the earlier batch have already been merged, to avoid duplicate records.

Expected result

The corrected row shows the intended value after refresh and its validation status is clear. Unresolved rows remain separate from valid rows. Check batch totals against valid rows before placing a merge job.
