Understanding donation claim statuses

A donation’s claim status tells you where it is in the Gift Aid workflow. Check it alongside any validation message and claim reference before editing or preparing another claim.

What the statuses mean

Status Meaning What to do next
Unclaimed Not yet included in a prepared claim. Check eligibility and declaration evidence before preparing it.
Scheduled Included in a prepared claim. Review the prepared claim in Submissions; do not prepare a duplicate.
Failed Did not pass validation for a prepare run. Read the specific error and correct the source record where appropriate.
Non-Gift Aidable Should not be claimed for Gift Aid. Confirm the reason and keep the record out of claim preparation.
Unknown Needs review before being trusted for claiming. Check the donor, donation and declaration evidence.

When to check the status

  1. After an import or manual donation save, reopen the record and check it persisted.
  2. Before preparing a claim, review excluded and failed records separately from eligible ones.
  3. After preparing a claim, confirm the intended donations are associated with it.
  4. If a prepared claim is cancelled, check that its donations return to the expected eligible state before starting again.

Amplify can hold a donor’s declaration history, so check dates and links there. In Breeze, check the source declaration evidence and the data supplied for the donation.
