Create, undo and claim adjustments in GiftAider Amplify

An adjustment records a correction connected to a donation that has already been claimed. It preserves the relationship with the original record instead of rewriting the historic claim.

Review adjustments against claimed donations in GiftAider Amplify

Before you start

  • Confirm the donation has already been claimed.
  • Check the reason and value of the correction.
  • Make sure another active adjustment does not already cover the same change.
  • Have evidence for the correction available according to your charity’s process.

Create an adjustment

  1. Open Donations and find the claimed donation.
  2. Open the donation or select Create Adjustment where available.
  3. Enter the adjustment details and reason.
  4. Review the effect on the amount and Gift Aid.
  5. Save once.
  6. Reopen the donation and confirm one active adjustment is linked to it.

Undo an unclaimed adjustment

Use Undo Adjustment only while the adjustment has not been included in a claim.

  1. Find the donation with status Adjustment Pending.
  2. Select Undo Adjustment.
  3. Confirm the action.
  4. Refresh the list.
  5. Check that the original donation returns to its previous state and that there is no active pending adjustment.

Claim an adjustment

  1. Open claim preparation.
  2. Select the applicable period and records.
  3. Review the adjustment count and Gift Aid effect in the preview.
  4. Prepare the claim.
  5. Confirm the prepared claim shows the same adjustment value.
  6. Complete the authorised submission workflow.

After the adjustment has been included in a claim, Undo Adjustment should no longer be offered. A further correction should use the supported adjustment process rather than changing a claimed record.

Expected result

  • One create action creates one active adjustment.
  • Undo restores the original state before the adjustment is claimed.
  • Preview, prepared claim, claim view and current reports agree on the adjustment value.
  • A claimed adjustment remains viewable but cannot be undone as if it were still pending.

Troubleshooting

Undo says the adjustment has already been claimed: Refresh the donation and claim history. The action should not be offered for a claimed adjustment. If it remains visible, record the donation and claim references for support.

Totals do not agree: Stop before submission. Compare the preview with the donation and adjustment records, then cancel and prepare again after correcting the source issue.
