This guide is for reviewing the quality of Gift Aid declaration records already held in GiftAider Amplify. For the actions to add, link or revoke one, see the separate declaration lifecycle guide. Breeze users must keep the source declaration evidence in their own process.
What to check on each record
| Detail | Why it matters |
|---|---|
| Correct donor | The evidence must belong to the person whose donations are being claimed. |
| Date signed and effective period | These dates determine which donations can be supported. |
| Method and evidence | Record how the declaration was made and where the supporting evidence can be found. |
| Current status | Review whether the declaration is active, missing, revoked or otherwise needs attention. |
Review a donor’s history
- Open the donor record in Amplify.
- Open its declarations list and review the entries in date order.
- Check for missing dates, duplicate records, revocations or conflicting periods.
- Open a sample of linked donations and compare their dates with the evidence.
- Record any uncertainty for the charity’s authorised reviewer before preparing a claim.
Before a claim
Run the relevant validation or unclaimed-donations view. A declaration shown as active is not by itself a substitute for checking the donor, dates and evidence. Fix genuine record errors through the normal edit workflow; do not change historic evidence merely to clear a validation message.
